INITIAL SITUATION

Before the implementation of ExFlow, the company relied on Microsoft Dynamics AX. The system had been tailored to the company’s various needs, leading to fragmentation of data and processes across different business areas. This made it difficult to get a comprehensive overview and required continuous effort, resulting in unnecessary costs in system maintenance. Processes were complex, retrieving historical data was impossible, and invoices could not be approved via mobile.

The general workflow needed improvement, manual work was extensive, and flawed approval processes for invoices caused additional work and costs. For example, if the wrong person was designated as the invoice approver, the process had to be handled manually. The dysfunctional system manifested itself in laborious daily processes, requiring many additional working hours. With invoice approvals lagging, a backlog of invoices often accumulated by the end of each month, with no separate notification that they were awaiting approval.

TRANSITION TO EXFLOW

Microsoft was discontinuing the AX system, meaning a switch was inevitable. Peikko transitioned to Microsoft Dynamics 365 and adopted the Microsoft-supported ExFlow accounts payable solution. The implementation of ExFlow was a natural choice for Peikko Group, as it could be implemented without separate integration. The implementation was handled with internal training and a webinar, the recording of which could be viewed later if needed..

With D365 and ExFlow, the company’s daily operations have significantly improved. Peikko finds that using ExFlow is easy and seamless. Delays and manual work have decreased, and invoice approval is now much faster.

SMOOTHER AND MORE EFFICIENT BUSINESS OPERATIONS

Delays and manual work have decreased, and invoice approval is now much faster. Processes run more efficiently, and invoice approval has become a normal part of their daily routine. The invoice approval link in emails enables quick action, and the use of mobile devices for invoice approval has become commonplace, thanks to ExFlow approval web.

According to Kim Salvén, Peikko Group’s Vice President of Sales and Marketing, the approval web is one of the best features of ExFlow and has significantly streamlined the company’s operations. An email arrives in the morning with a direct link to approve invoices which can be done, for example, on a mobile phone while on a business trip. Salvén says the process takes only about three minutes to complete.

Anna Macková, Peikko Group’s Accounts Payable and Travel Management Manager, also notes that the ease of approval has had a positive impact on the company’s daily operations. Previously, approving invoices required a separate login, and using the previous system via mobile was not possible. Macková also praises the improved general workflow with ExFlow. She commends SignUp Software’s development and updates, which continuously improve ExFlow to better meet users’ needs.
