Backed by supporters, churches, partners and funders, there is added pressure on not-for-profit organizations such as Mission Australia to be as efficient as possible, to ensure donations go the farthest.
While productivity and collaboration are vital to all organizations, when groups and individuals donate to not for-profits, they want to know that their money will be used effectively and goes towards the cause it was intended.
In recent times, donors have become even more discerning, often examining the administrative costs of charities. Extra care and diligence to not be wasteful when managing the finances of not-for-profits is therefore necessary, to deliver maximum impacts for the people it was established to benefit.

With Community Services based all over Australia and a complicated approval process, Mission Australia embraced technology and streamlined their financial operations following recommendations from DXC Eclipse.
To manage the change internally, they adopted a two-phase approach, first moving to Microsoft Dynamics 365 and then adding on ExFlow fifteen months later in 2018. The introduction of ExFlow at Mission Australia resulted in widespread efficiencies and notable improvements in invoice processing, workflow and reporting to enable follow up of unapproved invoices.
Kelvin Payne, Group Financial Controller at Mission Australia says “There was significantly favorable feedback from approvers post go-live. Where we previously had fifteen steps for approval, we now only have one or two.”
In addition, using ExFlow resulted in significant cost savings including a reduction of four full time employees.
When asked about working with SignUp Software’s implementation team, Kelvin explains: ”SignUp Software were keen to understand the nuances of the Mission Australia process, so they could assist us in maximizing any benefit from the use of ExFlow”.

ExFlow continues to allow Mission Australia’s Accounts Payable team to focus on analytical tasks, even with a reduced headcount. “I don’t ever want to consider reverting back to where we were before ExFlow. The product is functional, liked by Accounts Payable staff and invoice approvers, and delivers enhancements to our existing process along with significant cost savings” explains Kelvin.
